Name the receiving party
Record the receiver, agent, permitted delivery point, and working contact. Confirm whether a courier can deliver directly or must use an intermediate location. Do not publish gate codes or identity documents.
Coordinate timing and paperwork
State the vessel’s current and alternate port windows. Ask who is responsible for freight documents, customs arrangements, taxes, and any special handling. Do not assume a supplier’s dispatch date is a guaranteed onboard delivery date.
Create a change plan
Identify what happens if the vessel moves, the item is delayed, or the receiver is unavailable. Obtain written approval for rerouting or additional costs and retain proof of the actual handoff.
