Compliance coordination

Bundle annual work into a controlled port window

Combining planned tasks can simplify coordination, but it does not make all tasks interchangeable or give one supplier authority to issue every document.

Start from controlled due-date records

Use the vessel’s existing certificates, approved maintenance records, and operator instructions. List the source of each due date. Do not calculate statutory windows from a generic website calendar.

Separate scopes and suppliers

For each task, note equipment, expected attendance duration to be confirmed, parts, required approvals, witnesses, and final document issuer. Identify work that can proceed independently and work that depends on another task.

Plan the exception route

Agree what happens when access changes, a defect is found, or an issuer needs further evidence. State who authorizes additional work and which next-port options are possible. A combined visit is a coordination plan, not a guaranteed passing outcome.

Information to prepare

  • Task list with existing due-date sources
  • Equipment and approval requirements
  • Confirmed port window and access
  • Approval contact and alternate plan
This page is a planning aid. It does not authorize equipment changes, replace manufacturer instructions, determine vessel readiness, or establish a company approval. Use the vessel’s procedures and an appropriately qualified and approved delivery route.
