A service report is not automatically a certificate

Know what document you are purchasing. Attendance notes, a repair report, commissioning records, and a regulated certificate serve different purposes.

Describe the actual output

State who needs the document and for what purpose. Ask whether it will record diagnosis, work performed, measurements, unresolved defects, a witnessed test, or a formal result under a specified approval route.

Identify review dependencies

Some deliverables require external review or additional evidence after attendance. Ask the quotation to distinguish field completion from report completion and final document issue. Do not promise a release date that depends on an unconfirmed third party.

Review limitations at closeout

Check that the report identifies the equipment, scope, dates, person or entity performing the work, results, open items, and document status. Raise errors promptly. An invoice marked paid does not resolve a technical exception.
