Port-call planning

The pre-attendance checklist for a port call

Use the service assistant to organize what needs confirmation before an attendance. Preparing a brief does not book a visit or certify readiness.

Confirm location and timing

Verify the terminal, berth, agent contact, ETA, ETD, UTC offset, and a preferred work window. Label provisional details clearly. Check the permitted route onboard with the actual port and vessel contacts rather than relying on a generic port guide.

Confirm scope and authority

Make sure the written task, commercial approval, applicable approval route, parts assumptions, and required final document are understood. Name the person who can authorize a change when new information appears.

Confirm access and closeout

Arrange any required escort, safety briefing, work authorization, tools, isolation, and attendance acceptance through responsible personnel. Agree the update recipient, next update time, and expected closeout package. Keep outstanding items visible rather than marking them complete prematurely.

Information to prepare

  • Agent, berth, timing, and UTC offset
  • Accepted scope and authorization
  • Access and safety arrangements
  • Reporting and change-approval contacts
This page is a planning aid. It does not authorize equipment changes, replace manufacturer instructions, determine vessel readiness, or establish a company approval. Use the vessel’s procedures and an appropriately qualified and approved delivery route.
