ETA or berth changed? Send a change, not a second job

A schedule change should refer to the existing inquiry or job and make the old and new arrangements easy to compare. Avoid creating duplicate instructions.

Reference the original record

Use the existing job or inquiry reference and the same vessel identity. State who is requesting the change and their authority. A browser draft identifier is not the same as a desk-issued job number.

Make the change explicit

List the revised berth, date, time, and UTC offset; state which details are confirmed. Identify whether access, receiving agent, parts delivery, or the expected work window also changes.

Ask for written reconfirmation

Do not assume the original engineer or quotation carries over unchanged. Request confirmation of availability, any travel or cancellation effect, and the next update time. Retain the original agreement until the change is accepted.
